What Is a Lighting Specification Sheet?
A specification sheet—also called a cut sheet, data sheet, or product sheet—is a manufacturer document that summarizes the characteristics of a fixture or light source. Depending on the product and audience, it may include drawings, order codes, performance tables, electrical information, finishes, ratings, photometry, installation notes, and links to supporting documents.
Not every sheet contains the same fields. A decorative table lamp may provide dimensions, socket, cord, switch, and finish but no photometric file. An integrated architectural luminaire may provide output, distribution, driver, dimming protocol, color data, and several pages of ordering logic. Missing information is not automatically proof of a defective product, but it is a reason to withhold any decision that depends on that information.
The product page, specification sheet, installation instructions, photometric files, warranty, and certification documents serve different purposes. Do not expect one PDF to replace all of them.
Step 1: Identify the Exact Product and Revision
Start at the title block. Record the manufacturer, product family, model, document date or revision, and any region-specific designation. A family sheet may cover multiple sizes, sources, voltages, finishes, and mounting types. The photograph at the top may show only one of them.
Ask:
- Does the sheet name the same model as the product page?
- Is it for the U.S. or another electrical market?
- Is the revision current?
- Does the document cover the selected size and configuration?
- Is the pictured product the selected variant or an example?
If a product has changed, an older cut sheet may no longer describe current dimensions, drivers, finishes, or options. Preserve the document used for approval and record its revision.
Step 2: Decode the Ordering or Model Code
Professional sheets often build the final product code from a series of option fields. A code may represent size, output, color temperature, voltage, dimming, finish, mounting, shade, suspension, or accessories. Read the ordering table from left to right and write the completed code.
Do not assume every combination in adjacent columns is available. Footnotes may limit certain outputs, sizes, finishes, or controls. Some options may be mutually exclusive or region-specific.
For a consumer product with Shopify variants, the same principle applies. The selected finish, size, source option, color temperature, plug, or control should resolve to one clear variant ID and SKU. The visible image, price, availability, dimensions, and specification summary should correspond to that exact selection.
If the variant label says only “warm,” “white,” “small,” or “Style B,” the label is not a technical specification. Look for the supplier mapping that defines it.
Step 3: Read Dimensions as an Installed Envelope
Dimensions are more than width and height. A complete review may include:
- fixture body width, height, and depth;
- shade or diffuser dimensions;
- canopy or backplate dimensions;
- projection from the wall;
- base footprint for portable fixtures;
- minimum and maximum overall suspension;
- cord, chain, cable, or rod lengths;
- adjustment range and movement envelope;
- fixture weight;
- cutout, recess, or mounting dimensions;

Step 4: Understand Source Type
The sheet should indicate whether the light source is integrated or replaceable. A replaceable source may be described by socket or base, lamp shape, quantity, maximum permitted wattage, and sometimes recommended lamp characteristics. An integrated source may identify LED module, board, driver, system wattage, output, color, and control.
Replaceable-bulb fixtures
Check socket or base, number of lamps, physical bulb envelope, maximum fixture wattage, voltage, and restrictions for enclosed shades. A compatible base does not guarantee that every bulb shape fits or that every LED bulb works with a dimmer.
Integrated LED fixtures
Check whether the stated lumens and wattage describe the complete luminaire or only the LED source. Look for driver and dimming information, color-temperature options, color-rendering data, rated-life basis where provided, and service or replacement documentation.
Do not assume an integrated source is field replaceable. Do not assume a replaceable bulb is included. The exact sheet and product terms should say so.
Step 5: Lumens Are Output, Not the Whole Lighting Result
The Federal Trade Commission's consumer guidance distinguishes lumens from watts: lumens describe brightness or luminous output, while watts describe energy use. This is why comparing wattage alone is not a reliable way to compare the visible output of different source technologies.
For fixtures, determine what the lumen number represents:
- lamp lumens before the shade or optics;
- initial LED-module lumens;
- delivered luminaire lumens after optical losses;
- output for one size, CCT, or driver option;
- nominal or tested data.
Two fixtures with the same total lumens can light a surface differently because their distribution, beam, shade, mounting height, and room conditions differ. Lumens do not state how much light reaches the island, page, wall, or floor.
Where a task or project has a defined performance requirement, use documented photometry, calculations, mockups, and qualified lighting professionals.
Step 6: Watts and Efficacy
Watts indicate electrical power used by the source or system. Check whether the number is lamp wattage, LED-module wattage, driver input wattage, or total system wattage. A decorative fixture that accepts replaceable bulbs may show only a maximum allowable wattage rather than the power the chosen lamp will actually use.
Efficacy is commonly expressed as lumens per watt. It describes how much luminous flux is produced per unit of power. Efficacy can help compare energy performance when the measurements are comparable, but it does not describe distribution, glare, color quality, dimming, build, or suitability for the room.
Do not select a fixture on the highest efficacy number alone. First determine whether it performs the intended lighting role and meets the other project requirements.
Step 7: Read Color Temperature Correctly
Correlated color temperature, or CCT, describes the apparent color of a white light source and is expressed in kelvins. ENERGY STAR explains that lower values such as 2700K or 3000K appear warmer, while higher values such as 4000K and above appear cooler.
A specification sheet may show:
- one fixed CCT;
- several orderable fixed CCTs;
- a field-selectable set of CCTs;
- tunable-white range;
- dim-to-warm behavior;
- a descriptive label without a numeric value.
Those are different systems. A product available in either 2700K or 3000K is not necessarily field-switchable. A field-selectable product may require the choice before or during installation. Tunable white requires compatible controls. Dim-to-warm changes color as output is reduced. Read the exact option and control requirements.
Use 2700K vs 3000K to plan visible color relationships. Never translate “warm,” “natural,” or “white” into a numeric CCT without documentation.
Step 8: Understand CRI Without Overpromising
The Illuminating Engineering Society defines color rendering index, or CRI, as a measure of the degree of color shift objects undergo under a test source compared with a reference source of comparable color temperature. CRI and CCT describe different things: CCT concerns the apparent color of the light; CRI concerns one aspect of how object colors are rendered.
A sheet may state CRI as a minimum, typical value, option, or family-wide claim. Check which source and CCT it covers. Additional color metrics may be supplied for professional evaluation.
A higher CRI number does not by itself establish visual comfort, color preference, consistency, distribution, or suitability. Do not claim that a catalog product is “high CRI” unless the exact selected source has supporting data.
Step 9: Distribution, Beam, and Photometry
Distribution describes where the light goes. A sheet may use diagrams, beam angles, candela plots, zonal-lumen tables, spacing criteria, photometric files, or simple descriptions such as direct, indirect, or diffuse.
Decorative fixtures often provide less distribution information. In that case, the shape and shade can suggest a hypothesis but not prove task performance. Clear glass may expose the source; an opaque shade may direct light through openings; a translucent material may glow. Thickness, internal components, and source position still matter.
IES or LDT photometric files are data inputs for lighting calculations, not images to be judged casually. Confirm that the file corresponds to the exact size, output, source, optic, CCT, and configuration being specified.
Where no photometry exists, a working sample may be the best way to examine source visibility, shade behavior, and the real effect on nearby surfaces.
Step 10: Voltage, Frequency, Driver, and Electrical Data
Electrical compatibility must be explicit. Review input voltage, frequency, current where relevant, power supply or driver, plug type for portable products, grounding or class information, and regional configuration.
A voltage range does not confirm the supplied plug, listing, installation method, or suitability for the United States. A product photographed with one plug should not be assumed to include it in every variant.
For hardwired fixtures, installation belongs with qualified professionals. The specification sheet should be coordinated with the installation instructions and project electrical documents.

Step 11: Dimming and Controls
“Dimmable” is incomplete without a method. The sheet may identify forward-phase, reverse-phase, 0–10V, DALI, DMX, proprietary, integral touch control, remote control, or another system. The source, driver, control, wiring, and sometimes minimum load must be compatible.
Look for:
- dimming protocol or control type;
- documented compatible dimmers or controls;
- stated dimming range;
- separate control wires or components;
- behavior at minimum output;
- field-selectable or programmed settings;
- limitations and known incompatibilities.

For a wall light, review backplate, projection, orientation, and junction-box relationship. For a portable lamp, review base, cord, plug, switch, and stability.
Some mounting details appear only in installation instructions. Request those instructions before the ceiling, wall, blocking, junction box, or millwork is finalized.
Mounting orientation matters. A product shown vertically should not be assumed suitable for horizontal installation unless documented.

Dry, damp, and wet location language describes different environmental conditions. IP ratings, where provided, communicate enclosure protection under a defined system. Neither should be invented from the room name or product appearance.
A wall light suitable for a dry bedroom is not automatically suitable beside a bathroom mirror. A sheltered exterior is not automatically a damp or wet location supported by the product. Confirm the exact rating, installed zone, and applicable project requirements.

Step 14: Listings, Certifications, and Compliance Claims
A specification sheet may display marks, standards, program logos, or compliance statements. Record the exact claim and product configuration. Do not convert a component certification into a complete-fixture certification. Do not assume a family logo covers every variant, voltage, or region.
If a project requires a particular listing, certification, accessibility condition, energy-code qualification, or environmental documentation, obtain the supporting document and have the responsible professional review it. A logo on a marketplace image is not enough.
Terms such as “ADA compliant” can depend on installed projection, mounting height, route, and exact configuration. The U.S. Access Board identifies wall-mounted sconces among objects that may be subject to protrusion requirements along circulation paths. Product and project conditions must be reviewed together.
Step 15: Materials, Finishes, and Color Options
Read material and finish separately. “Brass” may describe a base material, a finish color, a plated surface, or informal color language. “Marble look” does not prove natural stone. Use only the exact terms supported by supplier documentation.
Check whether finish codes apply to the body, canopy, hardware, shade, cord, or all components. A photograph may combine finishes or show a prototype. Natural materials may vary, but do not make claims about origin, rarity, sustainability, craftsmanship, or tolerance without evidence.
For multi-unit projects, define how finish samples, approved ranges, and replacement pieces will be handled. Do not promise perfect consistency.
Step 16: Rated Life, Lumen Maintenance, and Warranty
Rated life is not a promise that every source will operate unchanged until a stated hour. The basis may refer to lamp survival, lumen maintenance, driver life, or another test condition. Read the definition and conditions attached to the number.
Warranty is a separate commercial document. It may define duration, covered components, exclusions, proof requirements, region, remedies, and responsible party. A rated-life value is not a warranty, and a warranty does not establish delivered performance.

Create an accessory checklist and identify who supplies each item. Verify whether a shade, lamp, cable length, or dimmer shown in photography is included. An incomplete bill of materials can make a technically valid fixture impossible to install as intended.
Step 18: Compare the Sheet With the Product Variant
Before purchase, reconcile the sheet with the live product page:
- product title and model;
- variant ID and SKU;
- size and dimensions;

- image and included components;
- price and availability;

- one source calling a material natural and another calling it faux;
- photography showing a finish not listed in the options;

- outdated documents attached to a revised product.
Keep the product out of a final specification and, for ecommerce, non-purchasable if critical identity, compatibility, price, image, or availability information cannot be verified.

Pass 1: Can it physically fit?
Check model, dimensions, weight, mounting, projection, suspension, canopy, cutout, and environment.
Pass 2: Can it produce and control the intended light?
